What is Aviation Documentation Support?

Aviation documentation is the foundation of regulatory compliance. Every IOSA standard, every EASA regulatory requirement, every FAA Part 121 provision, and every national CAA regulation requires documentation of some kind: procedures, manuals, checklists, training records, risk registers, audit reports, or management reviews. Without accurate, current, and well-structured documentation, aviation organisations cannot demonstrate compliance during regulatory audits — regardless of how well their operations actually perform.

Aviation Documentation Support encompasses the full lifecycle of aviation documents: initial development aligned to regulatory requirements, periodic review and update to reflect regulatory amendments and operational changes, format standardisation and document control system implementation, and emergency document correction following audit findings. ASG provides expert documentation support across all aviation sectors and regulatory frameworks, including SMS documentation, QMS documentation, IOSA compliance documentation, and security management documentation.

Aviation Documentation Requirements

Aviation organisations are required to maintain extensive documentation portfolios. Airlines operating under EU Air Ops must maintain: Operations Manual (Parts A, B, C, D), Minimum Equipment List (MEL/CDL), Aircraft Maintenance Programme (AMP), Safety Management Manual, Training Manuals for each crew category, and various operational specifications. EASA Part-145 MROs must maintain: Maintenance Organisation Exposition (MOE), Work Order documentation, Certifying Staff authorisation records, Training records, Quality Audit records, and Continuing Airworthiness records.

IOSA documentation requirements span eight operational domains, requiring comprehensive procedure documentation for flight operations, maintenance, cabin services, ground handling, cargo, security, and safety management. ISAGO requires similar comprehensive documentation from ground handling organisations. Keeping all required documentation current, accurate, and consistent is a significant ongoing operational challenge for aviation organisations — particularly when regulatory amendments (such as new EASA AMC/GM publications or revised IATA standards) require systematic updates across multiple documents.

Poor quality documentation is consistently one of the top causes of aviation audit findings. Common documentation problems include: procedures that describe theoretical operations rather than actual practices, outdated procedures that don’t reflect current regulatory requirements, inconsistencies between related documents (e.g., Operations Manual and MEL conflicting on the same topic), missing cross-references between related procedures, and document control failures that result in staff using superseded versions.

ASG’s documentation support addresses all of these issues through structured document review, regulatory matrix alignment, and document control system implementation. For organizations requiring documentation as part of broader compliance programs — IOSA, EASA Part-145, ACC3, or CAA approval — our documentation services are integrated with our audit preparation and consulting offerings. Our Aviation Documentation Support Services

Aviation Manual Development

ASG develops complete aviation manuals from scratch, including: Operations Manuals (Parts A-D), Safety Management Manuals, Quality Manuals, Security Manuals, Aerodrome Manuals, Maintenance Organisation Expositions (MOEs), Training Organisation Handbooks, and Ground Operations Manuals. All manuals are developed against a regulatory matrix that confirms alignment with applicable regulations, IATA standards, and CAA requirements. We provide both the manual structure and the substantive content, drawn from operational expertise and regulatory knowledge.

Documentation Review & Regulatory Update Service

For organisations with existing documentation that requires review, update, or alignment with new regulatory requirements, ASG provides systematic documentation review services. We identify gaps and inconsistencies, update procedures to reflect current regulations (including EASA AMC/GM updates, IATA DGR/ISM edition changes, and national CAA regulatory amendments), and ensure cross-document consistency. Our regulatory matrix reviews provide a comprehensive compliance mapping for your entire documentation portfolio.

Document Control System Implementation

ASG implements document control systems and processes: document numbering and classification frameworks, revision control procedures, distribution and acknowledgement tracking, document review scheduling, emergency amendment processes, and digital document management system selection and configuration. Effective document control is essential for maintaining documentation integrity over time and is specifically assessed in IOSA, EASA, and CAA audits. We also provide staff training on document control procedures.

Benefits of Expert Aviation Documentation Support

Why Choose Aero Support Group for Documentation Support?

ASG’s documentation specialists combine regulatory expertise with technical writing skills, producing documentation that is both fully compliant and operationally usable. We understand the specific documentation requirements of each aviation regulatory framework — IOSA, EASA, FAA, national CAA — and have developed documentation for organisations across all aviation sectors in 100+ countries.

We deliver documentation that actually serves its operational purpose: clear enough to use as an operational reference, specific enough to demonstrate compliance, and structured well enough to maintain through regulatory changes. For organizations integrating documentation with broader compliance programmes, our documentation services work in conjunction with our SMS consulting, QMS consulting, and IOSA Audit Preparation services.

An Operations Manual (OM) is required for all commercial airline operators. Under EU Air Ops, it is divided into four parts: OM-A (General/Basic, covering company policies, personnel, and procedures), OM-B (Aeroplane Operating Matters, specific to aircraft type), OM-C (Route and Aerodrome Instructions and Information), and OM-D (Training Programme). The content requirements are specified in AMC1 ORO.MLR.100 and AMC2 ORO.MLR.100. ASG develops all four OM parts.

An MOE (Maintenance Organisation Exposition) is the primary document for an EASA Part-145 MRO approval. It describes the organisation’s quality management system, scope of approval, organisational structure, maintenance procedures, and quality procedures. The MOE is submitted to and approved by the national CAA and must be kept current. ASG develops and reviews MOEs against current Part-145 requirements and AMC/GM.

Most aviation regulatory frameworks require annual document reviews at minimum, with additional reviews triggered by regulatory amendments, significant operational changes, or audit findings. Some manuals (MEL, Operations Manual Part B) may require more frequent updates as aircraft configurations or approved procedures change. IOSA and EASA specifically require documented review processes and evidence of completed reviews.

Yes. ASG provides aviation documentation in multiple languages including Arabic, French, Spanish, Turkish, and others. For documentation required in local languages by national CAA regulations, we ensure translation is conducted by technically qualified aviation personnel rather than language professionals alone — ensuring regulatory accuracy is maintained alongside linguistic quality.

A regulatory matrix maps each documentation requirement in applicable regulations (IOSA ISM, EU Air Ops, national CAA regulations) to the specific document, section, and procedure where it is addressed. The matrix provides: a compliance assurance tool for internal quality audits, a change impact assessment tool when regulations are amended, and evidence for regulatory auditors that all applicable requirements have been addressed. ASG develops regulatory matrices for all standard aviation documentation frameworks.

Need Aviation Documentation Support?

Good documentation is invisible when it works — auditors find everything compliant, staff can follow procedures, and regulatory changes are absorbed efficiently. Poor documentation causes audit findings, operational confusion, and compliance failures.
